Abstract: Provided is a document management system for managing document data by applying access restrictions to each metadata acquired by character recognition of document data to be managed. The mage forming apparatus acquires document data to be managed. The image-processing server performs character recognition of document data and acquires metadata. The image forming apparatus specifies metadata to be concealed in document data. The image forming apparatus receives a security setting, correlates a metadata name to be concealed with the security setting, and transmits the security setting together with document data to the image-processing server. The document-management server, in the case where there is an access request from a user for document data, allows access to the document data based on the security setting by not masking metadata for which there is access authority, and masking metadata for which there is no access authority.

Abstract: An image forming apparatus includes an exit tray, an image forming section, a user identification section, a printed sheet receipt managing section, and a fetch sensor. The image forming section performs a printing operation based on a print instruction issued from a user. The fetch sensor is capable of detecting that a printed sheet has been fetched from the exit tray. The user identification section identifies a print requester corresponding to a user having issued a print instruction, and a fetcher corresponding to a user fetching the printed sheet from the exit tray. If the printed sheet is fetched from the exit tray and the fetcher is different from the print requester, the printed sheet receipt managing section sends, to a computer of the user, a notice of printed sheet taken away notifying that the printed sheet has been taken away.

Abstract: An image forming apparatus includes an exit tray, an image forming section, a print controller, a user identification section, a fetch sensor, and a notification managing section. The image forming section performs printing on a sheet and ejects the printed sheet onto the exit tray. The print controller causes the image forming section to perform printing. The user identification section identifies the user and manages log-in and log-out status of the user. The fetch sensor detects whether or not the ejected printed sheet is fetched. The notification managing section changes, based on the user log-in or log-out status at completion of printed sheet ejection onto the exit tray and based on whether or not the printed sheet ejected onto the exit tray is fetched, a content of a notification that is to be issued to the user after completion of printed sheet ejection.

Abstract: Provided is a document-management server that controls the amount of change notifications sent to an administrator of an image-processing server in the case where metadata necessary for system cooperation is changed. The image-processing server acquires an attribute of specific metadata from document data and transmits the attribute together with the document data. The document-management server manages the document data based on the attribute of the specific metadata transmitted from the image-processing server. A metadata-setting-receiving unit receives a change in the specific metadata. A notification-priority-adding unit adds a notification priority to the specific metadata for which a change is received by the metadata-setting-receiving unit. A change-notifying unit creates a change notification for informing that the specific metadata has been changed, and transmits the created change notification to an administrator of the image-processing server at a transmission timing based on the notification priority.
