When an MFP determines that text data is transmitted to a plurality of addresses as destinations set by a user, an address group including set addresses is searched from a one-touch key registration and the transmission history of the user (or a group such as a department or a section associated with the user). Thus, the addresses input earlier and the address groups including the addresses yet to be input are displayed as destination candidates. The user selects a desired address group from those displayed, and thus can designate the data transmission to a plurality of addresses constituting the particular address group.

A box data management apparatus extracts box data from a plurality of devices, connected to a network, to enable display of a list of the box data. An operational parameter collection part in the box data management apparatus collects operational parameters as information for processing the box data in the devices. A box data processing part in the box data management apparatus extracts and displays a device and an operational parameter which are capable of processing each of the box data based upon the operational parameters. Therefore, after display of the box data in a list without division by the devices, operational parameters capable of processing selected box data are displayed, thereby enabling improvement in operability and convenience for the user.

In order to facilitate updating of information on a destination of data, a data communication system includes a server and an MFP capable of communicating with each other. The MFP transmits to the server an update requesting signal including a source address of an e-mail received from another apparatus and related information on the source, transmits an address request to the server and receives user address data from the server, and transmits data to at least one destination address included in the received user address data. The server stores the user address data having destination addresses and related information on the destinations associated with each other, and in receipt of the update requesting signal from the MFP, rewrites the related information associated with the source address included in the update requesting signal by the user address data with the related information included in the update requesting signal.

A portable terminal user uses a portable terminal so as to select data to be printed among data in a server as well as an MFP from which the data is to be printed out. The server creates authentication data and transmits the authentication data to the selected MFP. The MFP displays the authentication data. The portable terminal acquires the authentication data through picture taking, and transmits the acquired data to the server. The server compares the created authentication data with the data transmitted from the portable terminal. If they match, print data corresponding to the authentication data is transmitted to the MFP, whereby the MFP performs printing. With such a configuration, an image output system attaining excellent usability for the user and improved security can be provided.

In order to enable a still image to be checked while preventing leakage of confidential information contained in the still image, an MFP includes: an image acquiring portion to acquire a still image; an encoding portion to generate encoded data by encoding the acquired still image using an encoding key stored in advance; a decoding portion to decode the encoded data using the encoding key or a decoding key corresponding to the encoding key; and a transmitting portion to externally output the decoded still image in an electronically non-recordable form.
